2. Information We Collect

Account & Identity Information: When you register or are onboarded, we collect your name, email address, organisation name, designation, and contact details necessary to create and manage your account.

Usage Data: We automatically collect information about how you interact with our services — pages visited, features used, search queries submitted, report downloads, API requests made, and session timestamps.

Property & Transaction Data: When you submit queries through Transaction Search, Title Search, Litigation Search, Valuation, or other services, we process property identifiers (survey numbers, plot numbers, addresses) and related parameters you provide in order to return results.

Device & Technical Data: We collect IP addresses, browser type and version, operating system, and cookies to ensure platform stability, security, and a personalised experience.

Billing & Wallet Data: For wallet top-ups and credit consumption, we record transaction amounts, payment references, and credit balances. We do not store full payment card details on our servers.

3. How We Use Your Information

We use the collected information to:

  • Provide, operate, and maintain all services within the Data Intelligence suite
  • Authenticate users and enforce role-based access controls
  • Process valuation requests, generate reports, and deliver results
  • Manage wallet credits and billing transactions
  • Monitor platform health, diagnose technical issues, and improve performance
  • Detect and prevent fraudulent, abusive, or unauthorised use
  • Send transactional communications (report delivery, account alerts)
  • Conduct internal analytics to improve data models, algorithms, and user experience
  • Comply with applicable legal and regulatory obligations

4. Data Sharing and Disclosure

We do not sell your personal information. We may share data in the following circumstances:

Service Providers: We engage trusted third-party vendors (cloud infrastructure, payment processors, analytics providers) who process data on our behalf under strict confidentiality obligations.

Government & Regulatory Bodies: Certain services (Cadastral, Title Search, Litigation Search) retrieve data from public government registries. Data submitted to these services may be transmitted to the relevant authority's systems in accordance with their terms.

Legal Requirements: We may disclose information if required by law, court order, or governmental authority, or when we believe disclosure is necessary to protect rights, safety, or property.

Business Transfers: In the event of a merger, acquisition, or sale of assets, user information may be transferred as part of that transaction.

5. Data Security

We implement industry-standard security measures to protect your data, including TLS encryption for data in transit, AES-256 encryption for sensitive data at rest, role-based access controls, regular security audits, and intrusion detection systems.

While we take all reasonable precautions, no method of transmission over the internet is 100% secure. We encourage you to keep your credentials confidential and report any suspected unauthorised access immediately to connect@squareyards.com.

6. Cookies and Tracking Technologies

We use session cookies for authentication, preference cookies to retain your settings, and analytics cookies (Matomo) to understand platform usage. Analytics data is processed in an aggregated, anonymised form and is not used to identify individual users.

You may configure your browser to refuse cookies, but some features of the platform (such as authenticated sessions) require cookies to function correctly.

7. Data Retention

We retain account and usage data for as long as your account remains active plus a period of up to 3 years for audit and compliance purposes, unless a longer retention period is required by law.

Report outputs generated on your behalf (valuations, transaction summaries, title reports) are stored and accessible from your account for a minimum of 12 months. After that period, reports may be archived or purged in accordance with our data lifecycle policy.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete data
  • Request deletion of your personal data (subject to legal retention obligations)
  • Object to or restrict certain processing activities
  • Withdraw consent where processing is based on consent

To exercise any of these rights, contact us at connect@squareyards.com. We will respond within 30 days.

9. Third-Party Links

The platform may contain links to external websites or integrate with third-party services. We are not responsible for the privacy practices of those third parties and encourage you to review their privacy policies before providing any personal information.

10. Children's Privacy

The Data Intelligence suite is intended solely for business and professional use. We do not knowingly collect personal information from individuals under 18 years of age. If we become aware that a minor has provided personal data, we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify registered users by email.

Continued use of the platform after any changes constitutes your acceptance of the revised policy.
